Why your Photo Gallery Has an Expiration Date (And Why That's Important)

When you receive your photo gallery, you are not just receiving images. You are receiving a complete experience, from the way the photos are presented to how you interact with them.

This is why I am very intentional about how I deliver galleries.

Why I Use Pixieset for Your Gallery

Over the years, I have chosen Pixieset as my platform for delivering photos.

A gallery should not feel like a folder of files. It should be easy to use, visually clear, and guide you through your images in a natural way.

Pixieset allows me to create galleries that are:

  • simple to navigate
  • visually clean
  • easy to download from
  • accessible on both mobile and desktop

It becomes part of the experience, not just a delivery method.

If you are a photographer and want to start delivering online galleries, I truly recommend Pixieset. You can use my referral link to receive $20 off your first bill on the platform. For transparency, I also receive a referral credit if you decide to subscribe through my link.

Why Your Gallery Has an Expiration Date

Every gallery I deliver has an automatic expiration date. This is intentional.

Storage, both online and offline, is part of the service, but it is not unlimited. Maintaining galleries requires ongoing storage, organisation, and management.

For that reason, I provide your gallery online for 6 months.

In some cases, you may want access to additional material beyond your final gallery. I offer an add-on called the Digital Archive Collection, which includes unedited JPEG images from your session for personal use. Because of how my workflow is structured, this option is only available for a limited time. I keep the full working files, including RAW material, for 30 days after delivering your session. During this period, I am able to prepare additional material, apply corrections, or expand your selection if requested. After those 30 days, I no longer keep the RAW files, and only the final edited gallery remains archived. For this reason, any corrections, additional image requests, or add-ons must be requested within the first 30 days after your session. All additional material is provided as a separate, invoiced product and delivered under specific usage terms.

Why 6 Months

This timeframe is not random. Most of my sessions are engagement sessions. Within 6 months, you will have used your photos to share your engagement, prepare announcements, or include them in your plans.

For families and travelers, this period also aligns naturally. Your trip has passed, your memories are fresh, and you have had time to download and store your images.

Six months gives you enough time to enjoy your gallery without pressure, while also keeping the process efficient on my side.

Within the first months after your session, most clients use their photos for sharing, announcements, or personal memories.

Before your gallery expires, it’s also a good moment to think about creating something tangible. Many clients choose to print their photos, create a photo book, or design a small album to keep at home.

Digital images are easy to store, but printed photographs bring your memories into your everyday life in a different way.

What Happens After 6 Months

After 6 months, your gallery will no longer be available online. I keep an offline archive for up to 2 years, but only of the final edited JPEG images delivered in your gallery. No RAW files or additional material are stored beyond the initial 30 days.

This means that while I can restore your final gallery within that period if needed, no changes or additions can be made. After 2 years, files are permanently removed from my system.

Why This System Exists

As photographers, we deliver images for personal use, and you are free to use them as you wish within that scope.

But storage is a separate part of the process.

By setting clear timelines, I can:

  • keep my workflow organised
  • maintain a reliable system
  • and continue delivering a consistent experience to every client

A Small Recommendation

Once you receive your gallery, download your images and store them in more than one place.

Your photos are your memories, and the best way to protect them is to keep your own backup.

Your gallery is available online for 6 months. Your images are archived offline for up to 2 years. After that, they are no longer stored. This system allows me to deliver a clean, reliable, and consistent experience for every client.

Every part of the process is designed with intention, from how your images are captured to how they are delivered and stored.

Warmly,

Joanna
